Job Summary: The Spare Part Representative is responsible for managing and overseeing the inventory of spare parts for home appliances. This role involves maintaining optimal stock levels, processing orders, and ensuring timely delivery to service technicians and customers. The representative will work closely with the service and support teams to meet the needs of the business and ensure customer satisfaction. Key Responsibilities: Inventory Management: Maintain and update the inventory of spare parts. Monitor stock levels and reorder parts as necessary to prevent shortages. Perform regular inventory audits and reconcile discrepancies. Order Processing: Process incoming orders for spare parts from service technicians and customers. Coordinate with suppliers to ensure timely delivery of ordered parts. Manage backorders and communicate status updates to relevant stakeholders. Supplier Management: Develop and maintain relationships with suppliers. Negotiate prices and terms with suppliers to ensure cost-effective procurement. Evaluate supplier performance and address any issues promptly. Logistics Coordination: Organize the distribution of spare parts to various locations. Ensure proper packaging and labeling of parts for shipment. Track shipments and handle any logistics-related issues. Customer Service: Respond to inquiries from service technicians and customers regarding spare parts. Provide technical assistance and advice on the selection of appropriate parts. Handle customer complaints and resolve issues related to spare parts. Documentation and Reporting: Maintain accurate records of inventory, orders, and shipments. Prepare regular reports on inventory status, order fulfilment, and supplier performance. Ensure compliance with company policies and procedures regarding spare parts management. Continuous Improvement: Identify opportunities for process improvements and implement changes to enhance efficiency. Stay updated on industry trends and new products to provide better service. Participate in training and development programs to enhance skills and knowledge. Qualifications: Education: Bachelor’s degree in supply chain management, Business Administration, or a related field. Experience: Minimum of 1-5 years of experience in spare parts management, preferably in the home appliances industry. Skills: Strong organizational and inventory management skills. Excellent communication and customer service skills. Proficiency in using inventory management software and MS Office applications. Ability to negotiate and manage supplier relationships. Problem-solving skills and attention to detail. Attributes: Ability to work independently and as part of a team. High level of accuracy and reliability. Strong sense of urgency and ability to prioritize tasks. Working Conditions: Office and warehouse environment. May require occasional travel to supplier sites or service centers. Standard working hours with occasional overtime to meet deadlines.
